Refund & Cancellation Policy

1. Paid Appointments — The 24-Hour Cancellation Rule

24-Hour Cancellation Window Cancel at least 24 hours before your appointment time for a full refund. Cancellations after that window are non-refundable.

This policy applies to all paid appointments booked through Foundry Grove Bookkeeping's Acuity Scheduling system, including:

  • Consulting appointments — financial review, QuickBooks/Xero setup, software advisory, and business financial consulting sessions
  • Training appointments — QuickBooks, Xero, bookkeeping basics, and any other paid educational sessions

Exact language for your records: "Cancellations made less than 24 hours before a consulting or training session will not be refunded."

  • Cancelled less than 24 hours before appointment
  • No-show (absent without prior notice)
  • Late arrival causing session to be cut short
  • Dissatisfaction after session was fully delivered
  • Client technical difficulties during a completed session

2. Non-Refundable Payments — Explicit Statement

Cancellations made less than 24 hours before a scheduled consulting or training appointment are 100% non-refundable. No-shows are 100% non-refundable. Payments for sessions that have been fully delivered are 100% non-refundable.

3. Dissatisfaction After a Session

Foundry Grove Bookkeeping is committed to delivering value in every session. If you feel a session did not meet your expectations, please contact us within 48 hours of the appointment at [email protected] and describe your concerns.

We review dissatisfaction claims individually and in good faith. However, completed consulting and training sessions are generally non-refundable once the service has been delivered. We may, at our sole discretion, offer a partial credit toward a future session in cases of genuine service failure on our part.

4. How to Cancel

To cancel a paid appointment, contact us using one of the following methods before your 24-hour window closes:

Cancellation requests are acknowledged during business hours (Monday–Friday, 9:00 AM – 5:00 PM CST). The timestamp of your email or voicemail is used to determine whether the 24-hour requirement was met — not the time we respond.

5. Rescheduling

If you need to move your appointment, we encourage you to reschedule rather than cancel. You may reschedule a paid appointment one time at no charge, provided the reschedule request is made at least 24 hours before the original appointment time.

Reschedule requests made less than 24 hours before the original appointment time will be treated as a late cancellation and are non-refundable. A new payment will be required to rebook.

6. Refund Processing

Approved refunds are returned to the original payment method within 5–10 business days, depending on your bank or card issuer. Refunds for Acuity-booked appointments are processed through Stripe. Foundry Grove Bookkeeping does not charge a cancellation fee for eligible refunds.

7. Ongoing Monthly Bookkeeping Services

Ongoing bookkeeping engagements are billed through Ignition and governed by your Client Service Agreement. General terms:

  • Either party may terminate an ongoing engagement with 30 days written notice
  • Fees already paid for work completed or in progress are non-refundable
  • Prepaid fees for future periods not yet started will be refunded on a pro-rated basis
  • Specific terms are set in your signed Client Service Agreement

8. Free Resources & Digital Downloads

Our free tools, kits, and downloadable resources are provided at no charge and are not subject to refund. If you experience a technical issue accessing a free resource, contact us and we will resolve it.

9. Exceptional Circumstances

We understand genuine emergencies happen. If a documented medical emergency or serious family crisis prevented you from cancelling within the 24-hour window, contact us at [email protected]. We review these situations case by case and will do our best to accommodate you.
